{"id":3226,"date":"2020-06-11T16:57:38","date_gmt":"2020-06-11T16:57:38","guid":{"rendered":"http:\/\/cascademagazines.com\/?p=3226"},"modified":"2026-01-22T20:38:10","modified_gmt":"2026-01-22T20:38:10","slug":"may-27-2020-council-minutes","status":"publish","type":"post","link":"https:\/\/cascademagazines.com\/index.php\/2020\/06\/11\/may-27-2020-council-minutes\/","title":{"rendered":"May 27 2020 Council Minutes"},"content":{"rendered":"<div class=\"et_pb_section_0 et_pb_section et_section_regular et_block_section\"><div class=\"et_pb_row_0 et_pb_row et_block_row\"><div class=\"et_pb_column_0 et_pb_column et_pb_column_4_4 et-last-child et_block_column et_pb_css_mix_blend_mode_passthrough\"><div class=\"et_pb_text_0 et_pb_text et_pb_bg_layout_light et_pb_module et_block_module\"><div class=\"et_pb_text_inner\"><p>&nbsp;<\/p>\n<p><strong>Lord of the Lakes Council Meeting Notes\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0 \u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0 \u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0 <\/strong>May 27, 2020<\/p>\n<p>Members Present:\u00a0 Pastor Kevin Heffernan, Wayne Ludkey, Jeff Jahnke, Jan Olson, Gail Gardner, David Wein, Sarah Miller, John Penza, John Macho, Amy Penza and Kristen Bjornstad.<\/p>\n<p><strong>Opening Prayer:\u00a0 <\/strong>All (Lord\u2019s Prayer)<\/p>\n<p><strong>Meeting Minutes:\u00a0 <\/strong>John Penza made a motion to approve the minutes from 5\/19\/20.\u00a0 John Macho seconded.\u00a0 Approved<\/p>\n<p><strong>Time and Talents:\u00a0 <\/strong>Jeff Jahnke will take the suggestions Wayne had regarding the time and talents sheet revisions and will sit down with Jill Templin to create a new form.\u00a0 He will send out an email to council members for approval.<\/p>\n<p><strong>Buildings and Grounds:\u00a0 <\/strong>Jeff relayed the council requests regarding the furnace to Kate Pfaendtner and Betts Nikolai.<\/p>\n<p><strong>Youth Group:\u00a0 <\/strong>Youth team will meet on 6\/3\/20.\u00a0 Jeff thinks council should give a statement to the youth group regarding concerns and direction of the group, but the ultimate decision about whether or not kids may attend is up to their parents.\u00a0 Pastor Kevin stated that he had to sign a waiver at the dentist and we may want to think about doing that at LOL.\u00a0 Wayne suggested using the phrase, \u201cwe are putting confidence in our youth director\u2026\u201d in the statement to parents.\u00a0 David suggested letting parents know what steps we are taking for the safety of our youth, but the decision is theirs.\u00a0 Amy said that she is planning, primarily, outside activities as the youth room is too small to maintain distance.<\/p>\n<p><em>Council statement for youth group parents<\/em>:\u00a0 \"As the Lord of the Lakes church council, we are putting our confidence in our youth director that she will make a good faith effort to follow CDC guidelines regarding hand sanitizing and other safety recommendations.\u00a0 Parents should conduct a thorough health screening at home prior to sending children to gatherings.\u00a0 The ultimate decision to return to youth group activities is the parents' decision.\u00a0 Our youth director reserves the right to send children home if they appear unwell.\"<\/p>\n<p>All council members approved statement and agreed that the youth group could resume activities after the youth team meets.<\/p>\n<p><strong>\u00a0<\/strong><strong>REOPENING DISCUSSION<\/strong><\/p>\n<p><strong>\u00a0<\/strong>Jeff received an email from Acuity Insurance (LOL liability and building coverage).\u00a0 He had asked about the church\u2019s liability if there were an outbreak of Covid-19 at LOL.\u00a0 Causation was discussed.\u00a0 As an example, did the church cause the outbreak?\u00a0 Any issues\/cases would go to court for a decision.\u00a0 His recommendation was that we do not need to be worried as long as we continue following sanitary practices\/procedures.<\/p>\n<p>3 phase reopening plan being discussed\u2026<\/p>\n<p><strong><u>Phase I <\/u><\/strong><\/p>\n<p>* Parking lot service (Worship on Wheels or \u201cWOW\u201d)<\/p>\n<p>* FM Transmitter is here.\u00a0 Wayne and Pastor Kevin set it up today.\u00a0 Wayne said that it was awesome!\u00a0 \u00a0Wayne drove around the parking lot and had great reception (station being used is 105.5).<\/p>\n<p>* 6\/7\/2020 start date (have FB updated and have Jill get the message out too)<\/p>\n<p>-8:00 am &amp; 10:00 am services<\/p>\n<p>-Need people to park cars and help set up<\/p>\n<p>-park cars perpendicular to current spaces so that everyone will face the front of the building<\/p>\n<p>- Need someone to coordinate teams to get the everything set up<\/p>\n<p>* No communion for first parking lot service (Jan ordered and kits and they will arrive after 6\/7)<\/p>\n<p>* Continue sending YouTube messages, but will want to look into doing the live stream option.\u00a0 Sarah can help with this.<\/p>\n<p>* Jody\/music will be from sanctuary<\/p>\n<p>* Pastor Kevin, Jody and Amy may need a radio to follow along with service<\/p>\n<p>* email bulletin to congregation (put electronic giving info at bottom of bulletin)<\/p>\n<p>* offering basket\/box at exit (as cars exit the parking lot)<\/p>\n<p>Wayne added that we can find other uses for the FM transmitter.\u00a0 Pastor Kevin suggested continuing to transmit the service even once we have moved to Phase II.<\/p>\n<p>Jeff asked for a volunteer to be the parking lot coordinator.\u00a0 John M. asked how many people would be needed (Jeff figured 4 per service and suggested looking to the usher teams for help).\u00a0 John M. volunteered to coordinate.\u00a0 Pastor Kevin and John M. will meet to discuss the set-up for WOW.<\/p>\n<p>Wayne will take care of the sound and Jill Templin will email the bulletin.<\/p>\n<p>Jan asked if we will be singing.\u00a0 Pastor Kevin said that while we are in the parking lot (in cars), we will be singing.<\/p>\n<p>John P. asked if the bathroom inside the church would be accessible during service.\u00a0 Pastor Kevin said that the doors will be open; we will limit the number of people and have sanitizer available.\u00a0 Jan suggested a maximum of 2 people in the bathroom (or a single family unit) and a requirement that all children must be accompanied.<\/p>\n<p>Jeff asked for council to meet again on 6\/10\/2020 to evaluate the parking lot service and plan for Phase II.<\/p>\n<p><strong><u>Phase II<\/u><\/strong><\/p>\n<p>* Mobile hand sanitizer dispensers are due to arrive around July 16<sup>th<\/sup>.<\/p>\n<p>* Bring people back inside the building<\/p>\n<p>-sanctuary set up for 64 people with spacing between family groups<\/p>\n<p>-ushers may need to manage seating<\/p>\n<p>-additional people may be seated in the gathering area if needed<\/p>\n<p>* Stick with 8:00 am &amp;
